Why renewals are the cheapest revenue a gym has

Because you already paid to acquire the member.

Signing someone new usually costs a discounted first month, a free trial session, and staff time on a tour and a follow-up call. A renewal costs one message. If a gym holds 300 members and renewal runs at 55% instead of 70%, that is 45 memberships a year replaced at acquisition cost rather than retained at nearly none.

Run your own version of that arithmetic before deciding how much effort the renewal window deserves. The member churn and renewal calculator shows what a few points of retention are worth annually, and the gym membership revenue calculator puts it against total revenue.

What schedule actually recovers members?

Five touches, spread over six weeks, and then stop.

The 15-day message matters most. It is the only one that reaches the member while renewing is still a routine decision rather than a reconsideration.

Renewal reminders (5 templates)

  1. Hi {name}, your membership at {gym} runs out on {date}. Renew before then and you keep your current rate of Rs {amount} — it goes up for new joiners next month. Shall I extend it?
  2. Hi {name}, 7 days left on your membership. You trained {count} times this month, which is a solid run. Renew now and I will add a free {benefit} to the next term.
  3. Hi {name}, your membership ends today. Renewing today keeps everything as it is, including your locker and your slot with {trainer}. Reply YES and I will extend it.
  4. Hi {name}, quick one: your plan expires on {date}. Quarterly works out to Rs {q_amount} against Rs {m_amount} monthly, so it saves you about {saving}% if you are planning to continue. Want me to switch you?
  5. Hi {name}, membership up for renewal on {date}. If the timing is awkward, I can hold your rate for 10 days. Just say the word.

Lapsed-member follow-ups (5 templates)

Different job. These are not reminders — the deadline has gone. The aim is to find out what stopped and remove it.

  1. Hi {name}, your membership lapsed last week. No pressure at all, but if something was not working — timings, the crowd, the trainer — I would genuinely like to know.
  2. Hi {name}, noticed you have not been in for a few weeks and the membership has now expired. If you want to pick up where you left off, your old plan is still available at the same rate this week.
  3. Hi {name}, it has been a month. Restarting is the hard part, so here is an easier one: come in for a single session this week as a guest and see how it feels. No commitment.
  4. Hi {name}, we have changed a few things since you were last in — {change}. If any of that was the reason you stopped, worth another look. Happy to show you around.
  5. Hi {name}, last message from me on this. Your details are on file, so whenever you are ready, restarting takes two minutes. All the best either way.

That last line matters. A message that closes the loop cleanly leaves the door open; a sixth chase closes it permanently, and on WhatsApp it risks the number being reported.

The rules on sending these

Promotional messages on the WhatsApp Business Platform need the member's prior opt-in and a template approved in advance. Collect consent on the joining form with a tick box and record the date. A renewal reminder to a current member is easier to justify than a marketing blast, but the safest position is the same for both: get the consent, keep the record.

For SMS at volume, TRAI's commercial communication rules require registered headers and consent, which is a reason to use a provider rather than a handset.

What to fix if renewals stay low

If the templates do not move the number, the problem is upstream.

Members are not attending. No message recovers someone who has not come in for eight weeks. The intervention belongs at week two, not at renewal.

The plan does not fit. Someone training twice a week on an unlimited plan is paying for what they do not use, and they know it. Offering the same plan again is asking them to repeat a bad decision.

Pricing is not doing any work. If quarterly and monthly cost nearly the same annually, nobody upgrades. The membership plan pricing calculator shows what each tier earns and where the gaps are.

A broader look at retention, pricing and utilisation together is what the free gym audit covers, and FitZeo handles the reminder scheduling once doing it by hand stops scaling.

The messaging rules themselves are set out in the WhatsApp Business Messaging Policy and by TRAI for commercial SMS.
